On this page commonra explains which information reaches us when you open commonra.com or write to us, what we do with it, how long it stays with us and whom you can ask about it.
1. Data controller
This website is run by commonra, 14 Coleham Head Works, Shrewsbury SY3 7BJ, United Kingdom, which decides how the data described on this page is used. Questions about it can be sent to hello@commonra.com or asked by telephone on 01743 358216; they concern every page under commonra.com and the messages that reach us through it.
2. Which data we process
Every page request is recorded on the server together with the address of the requesting device, the time, the file opened and the browser used. This information is needed to deliver the page and to detect faults or misuse.
When you contact us in writing or by telephone, we process the contact details you provide and the information contained in your enquiry. Where a form is used, only the fields marked as required are needed; any further detail you add is voluntary.
3. Purpose and legal basis
The processing serves the operation and security of commonra.com, the handling of the requests you send us, the preparation of offers and the fulfilment of duties that arise from a contract or from the law.
Depending on the situation, we rely on your consent, on an agreement with you or the steps that come before it, on a duty imposed on us, or on our legitimate interest in a safe and working website. If you leave out the contact details we ask for, we may not be able to reply.
4. Cookies and browser storage
This website keeps stored entries to a minimum. It does not use advertising cookies, it does not follow visitors across other sites, and an answer you give to a cookie notice stays in your own browser.
Stored entries can be reviewed and deleted at any time in the settings of your browser, where you can also block them for the future. Blocking everything may affect the parts of the site that depend on such entries.
5. Newsletter and email updates
If you subscribe to our email updates, we use the address you enter to send occasional news about commonra and our work. The address is not passed to other companies and serves no other purpose.
You can stop the updates at any time with the unsubscribe link in each message or by writing to hello@commonra.com. Your address is then taken off the list.
6. Third parties and transfers
Personal data is not sold. Only the providers that host this website and run our email see it, and they act on our instructions under a written agreement; public bodies receive it only where we are obliged to disclose it.
Some of the providers we work with may keep or process data in another country. When that happens, the transfer takes place only with the safeguards that the rules on data protection require for it.
7. Retention
We keep personal data only for as long as the purpose it was collected for requires, or longer where record-keeping duties apply. After that it is deleted or changed so that it no longer points to a person.
Technical log entries are deleted automatically after a short time. Enquiries and the correspondence that follows are kept while they may still be needed, and documents covered by tax or commercial law for the statutory period.
8. How we protect data
Technical and practical safeguards protect the data we hold against loss, alteration and access by people who are not entitled to it. Where your browser supports it, the connection to this website is encrypted.
No transmission over the internet can be guaranteed to be completely secure, so we cannot exclude every risk. Within our company, access to the messages we receive is limited to the people who answer them.
9. Your rights
You can ask us at any time which data we store about you, request its correction or deletion, have the processing restricted, object to it or receive a copy in a common electronic format. Consent that you have given may be withdrawn at any time; the withdrawal applies from then on.
You can use your rights by writing to hello@commonra.com. Before we answer, we may ask for a detail that confirms your identity, so that data is not disclosed to the wrong person; the answer follows within the period the law provides and costs you nothing.
If you believe that we handle your data unlawfully, you may complain to the Information Commissioner's Office (ICO), in addition to any other remedy.
